Summary:

  Correcting improperly imported Fall 2003 8th Grade English RLR and 8th Grade Math Expedited Re-Takes.

Details:

  Harcourt added fields to flag Expedited Re-Takes for 8th Grade English RLR and 8th Grade Math starting in Fall 2003.  This information needs to be imported with Build 42 or later of the software.  In addition, you need the downloadable Test Formats from April 26, 2004 or later loaded into your system, or the Expedited Re-Takes fields for these tests will not be recognized.  If this information is imported with a build of the software prior to build 42, or an earlier set of Test Formats, then the Expedited Re-Takes tests will have been imported into the system as "normal" tests.  Build 42 also addressed a discrepancy with importing the SPBQ information for these tests.  Prior to that build, they would have been skipped during import.

Please note that if you are unsure of the build that imported the information, you can check the Imported Files Log.  Use the View Form button to view the log.   This log lists the date of import for any given file.  In addition, you can select the entry for the file from the list then click on the View Import Log button, which will display the section of the Import Log specifically related to this file.  Near the top, the build of the software (at the time of import) is listed.  If this build is less than 41, then you should re-import the data using the instructions that follow.  When looking for the file from the Imported Files Log, Expedited Re-Takes are usually contained within a file separate from the main pupil file for a given testing period, and they have significantly fewer records, and the Expedited Re-Takes box will likely be checked in the display to the right.  Remember that not all districts had Expedited Re-Takes for these tests during this period.  Your testing coordinator should know if you did or not.  The log does not record the version of the Test Formats.  However, the date of the Test Formats is displayed from the Load Test Formats utility within Data Utilities.

Another method for checking to see if the data was loaded properly is to review these tests from the Overview of Student Test Scores screen, and use the filters to narrow down to these tests during this testing period.  If you do not see any marked with a checkmark under ER, and you know that Expedited Re-Takes information was imported, then it is likely that it was not imported properly, and you should use the following steps to re-import.

If you did Expedited Re-Takes for 8th Grade English RLR and 8th Grade Math during Fall 2003, and imported it with a build prior to 42, you will need to follow these steps to correct the problem:
  1. Make a backup of your Data File.
  2. Open SOL Tracker and go to the Utilities screen.
  3. Click on Data Utilities.
  4. Click on the Test Mass Deletion tab.
  5. In the Test Disk Type selector, choose MCT.
  6. In the Season selector, choose FALL.
  7. In the Year selector, choose 2003.
  8. Leave all other selectors blank.
  9. Check all three of the checkboxes to delete Standard, Electronic and Expedited Re-Takes tests.
  10. Do NOT check the box to just delete SPBQ data.
  11. Double-check that you have chosen the correct selections, then click on the Mass Delete button.  You will be prompted as to the number of records that will be deleted, and to confirm that you wish to delete them.
  12. Re-import all Multiple-Choice files for Fall 2003, including the "normal" pupil file, Electronic files, Expedited Re-Takes files, addendum files, and SPBQ files.

As a side note, the reason why you need to delete ALL Multiple-Choice data for this testing period is because the Expedited Re-Takes were imported as "normal" tests.  If you only checked the box to delete Expedited Re-Takes, nothing would be deleted.
